Getting started
- What do I need to get started?
- A compatible PMS and a WhatsApp Business number. Connect both from the settings in a few minutes and properties and bookings come in on their own.
- Do I have to change my WhatsApp number?
- No. Connect your own number and your guests keep writing to the one they know. The number is yours, not ours.
- How long does it take?
- A few minutes to connect. Kari answers from the first message and you complete the property sheets at your own pace.
- Does Karibai replace my PMS?
- No. It connects to it. Your PMS remains the source of properties and bookings; Karibai takes care of the guest conversation.
Kari, the AI assistant
- Does Kari make up answers?
- No. It answers from the property sheet and the booking data. If something is not there, it says it does not know and offers a person from your team.
- Does the guest know they are talking to an AI?
- Always. Kari introduces itself as a virtual assistant in its first message and never claims to be a person.
- What if the guest asks to talk to someone?
- Kari alerts your team right away and steps aside. The conversation shows up in the inbox with the full history.
- Which languages does it answer in?
- The guest's, automatically: it detects the language of each message and replies in it.
- When does it share the Wi-Fi or the access code?
- Only when the booking allows it, that is, once your PMS marks the check-in and during the stay. Before that it tells the guest when they will get it.
Inbox and team
- Can I see what Kari answers?
- Yes, everything, in real time. Every conversation is in the inbox even while Kari handles it, and you can take over at any moment.
- How does my team know a person is needed?
- With a notification on their phone or browser. The conversation rises to the top of the inbox until someone takes it.
- Does my team need to speak languages?
- No. While a person holds the conversation, they read the guest in their own language and their replies are sent translated.
- How many people can use Karibai?
- As many as you need. Invite your team with three roles: owner, admin and support.
Messages and guest app
- Which automated messages exist?
- Seven: confirmation, pre-arrival information, welcome, stay follow-up, checkout instructions, thank-you and extra confirmation. Each is enabled and written separately.
- Can I write them in my own words?
- Yes. Edit each template with variables such as the guest's name or the check-in time. They are sent as official WhatsApp Business templates.
- What is the guest app?
- A web page per booking, with no downloads or passwords, holding the house guide, directions, the Wi-Fi and the access code, checkout instructions and extras. With your logo and your colour.
- Which languages are the messages and the guest app in?
- Twelve: Spanish, English, French, German, Italian, Dutch, Portuguese, Catalan, Polish, Swedish, Danish and Russian.
Extras and payments
- Where does the extras money go?
- To your own Stripe account, connected once. Karibai neither holds the payments nor stores card data.
- Does Kari push extras?
- No. It suggests one when it fits, states the price and waits. If the guest says no, it does not bring it up again.
- How does my team deliver an extra?
- With a dated task created on payment, for the extras you mark as "requires team action".
Data and security
- Where is my guests' data stored?
- In the European Union. It is handled under GDPR and is neither used to train AI models nor sold to third parties.
- Is there a data processing agreement?
- Yes, with its annexes, and the subprocessor list is published.
- What happens to the data if I leave?
- Deleting the account removes everything: conversations, messages, files and WhatsApp templates registered in your name.
- Is there two-factor authentication?
- Yes, and passkeys too. Each person enables it from their security settings.
